Project Coordinator
Position Title: Transit Project Coordinator
Reports to: Operations Manager
JOB SUMMARY
The Project Coordinator will provide Administrative Support and Project Coordination to the Seminole Nation Public Transit to ensure the successful execution of all Public Transportation Projects. This position is responsible for the Coordination of all Projects, Plans and Public Transit Initiatives that involve planning, developing and ensuring maintenance of a model for tribal public transportation through Transit Plans, Asset Management Plans and Transit Safety Plans. Activities may include but are not limited to coordinating, tracking, and organizing various project-related actives from pre-planning and project start-up through Project closure, and recruitment and support of community participants.
ESSENTIAL FUNCTIONS
1. Under the direction of the Operations Manager, coordinates and completes various administrative tasks.
2. Provides administrative and analytical support on projects and special assignments to the Operations Manager.
3. Oversees and participates in the development and implementation of goals, objectives, policies, and priorities; recommends and implements resulting policies and procedures.
4. Identifies opportunities for improving service delivery methods and procedures; identifies resource needs; reviews with Director; implements improvements.
5. Plan, arrange and coordinate logistics for meetings and workshops
6. Identify Transit projects to meet the needs of economic growth, traffic, public safety, health, and social strategies for the Seminole Nation.
7. Schedule and arrange meetings and conference calls, prepare agendas and record meeting minutes.
8. Communicate and coordinate work across all facets of the project
9. Recruit and support robust community participation in meetings and activities including but not limited to:
• Coordinate logistics for meetings and live/remote trainings including scheduling, sending communications,
• Creating printed materials,
• Preparing agendas for community participants,
• Preparing and distributing meeting minutes,
• Preparing workshop and related materials and capturing feedback
10. Facilitate communications and social media activities within parameters of the Seminole Nation of Oklahoma Policies and Procedures
11. Identify target groups and geographic expansion options
12. Participate in Consultants process, including all support functions before, during and after Project
13. Conduct surveys for varied audiences, including survey design, data collection, and analysis and reporting
14. Complete reports and participate in meetings
15. Clearly represent and articulate the project’s needs to various constituents, follow up with assignments
16. Coordinates all planning activities with Consultants as Transit Contact.
17. Develops short- and long-term Transportation plans as may be reasonably necessary to maintain an updated count of ridership and potential areas of the need for service within the County.
18. Arrange and conduct meetings with the public, committees, and governmental representatives to ensure all parties are fully cognizant of projects planned and objectives are integrated and communicated.
19. Develop and maintain automated tracking systems, hard copy files and records regarding program initiatives
20. Confers and coordinates with dispatcher, drivers and Operations Manager to determine status of day-to-day operations and services.
21. Prepare maps, charts, and tables of limited complexity.
22. Conforms to the program requirements and objectives of the FTA covered in the Code of Federal Regulations.
23. Perform other duties as assigned.
Project-related
1. Assist Operations Manager to develop project deliverable grid and timeline, implementation plans, and track project delivery status
2. Promote and execute activities to ensure authentic community engagement, including recruitment and retention of community participants
3. Create presentations for project meetings, workshops for internal and external audiences
4. Draft and disseminate project updates and documents
MINIMUM QUALIFICATIONS
• Bachelor’s Degree plus 2 years experience in public health, public policy, transportation or human services is required; project management experience is highly beneficial; Master’s Degree in public health, policy or planning or human services preferred.
• Excellent interpersonal and communication skills; must have demonstrated successful team/collaboration experience
• Demonstrated success in community outreach and ongoing support of community participants
• Proficiency in Excel, Word, Access (and other database software) and online survey tools
• Must be able to define needs, communicate objectives, negotiate commitments, and otherwise influence the cooperative efforts of others to achieve defined objectives
• Ability to work in a fast-paced environment, handle multiple tasks, and be adaptable to change
• Prior transportation project development experience is a plus
• Prior experience with Tribal Government is a plus
• Experience with GIS/GPS Mapping software is a plus
▪ Valid Oklahoma driver’s license with ability to meet Seminole Nation liability insurance requirements and maintain eligibility for insurance.
▪ Must be able to pass background check, with no prior convictions and/or felonies.
▪ Must be able to comply with the Seminole Nation Drug Free Workplace policies.

WORK ENVIRONMENT
• Work is performed on a typical interior/office environment and in an outdoor environment.
• Exposure to natural weather conditions and various dusts and mists may occur while performing outdoor duties.
• Travel within the Seminole Nation area is required and some travel outside the area is necessary for other affiliations.
• Noise level is usually moderate.
