Deputy Court Clerk I

General Definition:
The Deputy Court Clerk I is a professional position of the Judicial Branch of the Seminole Nation. The position performs a variety of court related duties including, but not limited to, processing, filing, and assisting in the timely processing of case files. The position maintains professional interactions with employees, visitors and community members.

Major Duties and Responsibilities:
• Receives all individuals coming to the Tribal Court, while exercising diplomacy and tact and providing general procedural information as required.
• Accepts and receives the filing of all legal pleadings. Notifies all parties of record regarding continuances, cancellations, rescheduling and other activities of the Court.
• Builds, organizes and manages case files from open to close and monitors cases for scheduling for hearings/reviews.
• Performs case management activities for a centralized court records operation; files court documents within court files. Ensures files are up to date.
• Scans paper files to electronic images.
• Assists with preparation of court dockets and scheduling of cases.
• Assists in the upkeep and maintenance of records, papers, effects and property of the Court.
• Assists the Judge in the courtroom by recording, preparing court minutes, warrants and other documents as directed by the court.
• Maintains utmost confidentiality of client records, conversations and community issues.
• Assists litigants with proper forms, copies of relevant Tribal Law, etc., without giving legal advice. Responds to telephone and mail inquiries and private information on relevant cases as appropriate.
• Drafts or assists with drafting forms, mailings, reports, etc.
• Creates and maintains specified files and logs as required.
• Other duties as assigned.

Knowledge, Skills and Abilities:
• Knowledge of laws and regulations unique to a tribal court.
• Knowledge of court office practices and procedures.
• Knowledge of records management and customer service practices and techniques.
• Ability to communicate efficiently and effectively, both verbally and in writing.
• Computer proficiency (Microsoft Word, Outlook and other common programs).
• Ability to handle multiple tasks and meet deadlines.
• Ability to work under stress and keep composure.
• Ability to exercise independent judgment.
• Ability to maintain confidentiality.
• Must be able to travel in or out of the state for daily or overnight training.
• Must be able to pass the Seminole Nation required background check.
• Must be able to comply with the Seminole Nation Drug Free Workplace policies.

Education and Experience:
• An Associate’s degree in criminal justice, legal studies or related field; or
• At least a minimum of two (2) years administrative experience, preferably court related experience.

• Talk, hear, sit, stand; use hands to handle objects, equipment, controls and reach with arms and hands.
• Position may require lifting of up to 25 lbs.

• Work is typically performed in an indoor environment
• Work hours subject to change with occasional overtime work required.
• Must be able to work long hours under stressful conditions and may be exposed to emotional clients.
• Noise level is usually minimal.
